Wallaby Privacy Policy

Your meetings are yours.

Wallaby is designed to minimise the meeting data we hold. We do not store meeting recordings. Transcripts exist only for the time needed to create your notes and are then deleted. Your notes are stored on your device rather than on Wallaby servers. Your meetings are not used to train AI models. Wallaby does retain the limited account, subscription, usage and technical information needed to provide and improve the service.

2. When you capture a meeting

When you start a capture, your device opens an encrypted connection directly to our speech-to-text provider, Speechmatics, and streams the conversation for live transcription. The purpose is transcription and nothing else.

No recording is created. The audio is not written to storage on your device, and it is not stored by Speechmatics: it is transcribed in memory as you speak and is gone when you stop. Wallaby servers never receive your audio at all — the only thing our server does for a capture is mint a short-lived token so your device can open that connection itself.

Speechmatics processes this realtime audio in the European Union. There is currently no Australian processing region for this service. The transcript comes back to your device as text, in real time.

3. When your notes are written

When a capture ends, the transcript text is sent once from your device to our server in Sydney, passed in memory to our AI provider (Anthropic) to write your Gist, Brief, Full and actions, and the finished notes are returned to your device.

The transcript is not stored on our server, and neither are the notes. They exist for the length of that one request. What our server keeps from it is a count: that a summary was generated, and how many tokens it used.

4. What lives on your device

Your notes, actions, meeting history, consent records and saved briefing recipients are stored on your phone — not on our servers. They are searchable on your phone, and deleted by you.

If you create a voice signature, it is stored on your phone too. It is a small mathematical summary of your voice — a set of numbers — not a recording, and it is never sent to our servers.

Because this data sits on your phone, it is included in whatever device backup you have switched on with Apple or Google. That backup is your device and your account, under your control and governed by their terms; Wallaby neither performs nor sees it.

Wallaby uses a small number of providers, and each receives only what it needs:

Payment processing is not listed because Wallaby does not process payments yet. When subscriptions open, they will run through the Apple App Store and Google Play, and this policy will say so before they do.

7. Where your data is processed

Our server is hosted in Sydney, Australia, and that is where your account data lives.

Your meeting audio is transcribed in the European Union, because there is currently no Australian processing region for realtime transcription with our provider. The transcript text sent for summarisation is processed by Anthropic, which may process it outside Australia.

To be precise about the distinction, because it matters: your account data stays in Sydney; your meeting audio transits to the EU for transcription and is never stored anywhere.

Your meetings are not used to train AI models.

9. Email briefings

Wallaby can turn a meeting into a briefing and open it as a draft in your own email app. You review it, you edit it, and you send it from your own address.

Wallaby does not send meeting briefings on your behalf. Our server has no ability to send meeting content to anyone, and it stores no recipient addresses.

The people you send briefings to are remembered on your device only, and they are removed along with everything else when you use "Delete everything" in Settings.

10. Retention and deletion

Transcripts. The transcript is deleted as soon as your notes are written. There is one honest exception, and it exists so that a failure does not cost you your meeting: if note generation is still pending or has failed, the transcript is kept on your device so it can be retried. Once notes are written, it is deleted. A capture too short to summarise has its transcript deleted as well — there is nothing to retry, so nothing is kept.

Notes. Your notes stay on your device until you delete them. You control retention in Settings — keep them indefinitely, or have them removed automatically after 30 or 7 days — and you can delete any single meeting at any time.

Everything at once. "Delete everything" in Settings removes your notes, actions, meeting history, consent records and saved briefing recipients from your device, behind a typed confirmation.

Your voice signature is not included in that wipe today: re-recording it replaces it, and uninstalling the app removes it with everything else the app stores. A control to delete it on its own is not in the app yet, and this section will say so when it is.

Your account. Deleting the data on your device does not by itself remove your server-side account record. Deleting your account removes that record and everything the server holds about you — your sign-in sessions, your usage records, the reliability rows tied to you and any feedback you sent — in a single action. It is a deletion, not a request: nothing is queued for review and nothing is kept back.

The control for this lives in Settings from the next app release. Until that release reaches you, email privacy@vanedge.com.au and we will run exactly the same deletion for you.

We hold no billing records today, because paid subscriptions have not launched. When they do, the store — Apple or Google — holds the transaction record under its own terms, and this section will say plainly what, if anything, we are required to keep.

11. Security

Data in transit is encrypted, both between your device and our providers and between your device and our server. Access to the server and its database is restricted to the people who operate the service, and administrative tools have no ability to display meeting content, because that content is not there.

The strongest protection in Wallaby is not a control we operate: it is how little we hold. We do not claim any system is impossible to breach.

12. Diagnostics and feedback

Wallaby uses no third-party crash reporting or analytics service. There is no such software in the app.

Test builds automatically send crash reports to our own server — the technical error, the app version, the device model and the operating system version. These are content-free by construction: there is no field in them that could carry a word of a meeting. Public releases will ask before sending a crash report.

Feedback is only ever sent when you write it and send it yourself, and it is attributed to your account so we can reply.

13. Your rights

Under the Australian Privacy Act you may ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Write to privacy@vanedge.com.au and we will respond within a reasonable period.

If you are unhappy with how we handle a privacy matter, tell us first so we can put it right. If you are still unsatisfied, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

14. Children

Wallaby is a workplace tool, made for adults recording their own professional meetings. It is not directed at children, and we do not knowingly collect personal information from a child. If you believe a child has created an account, contact privacy@vanedge.com.au and we will remove it.

When this policy changes we will update the effective date above, and material changes will be signalled in the app. Previous versions are preserved in our source history.
